Privacy Policy

This document outlines our commitment to transparency, data protection, and the ethical management of information within the UniteGPS ecosystem.

1. FERPA Compliance

UniteGPS operates in full alignment with the Family Educational Rights and Privacy Act (FERPA). We act as a "school official" under FERPA when providing services to educational institutions, ensuring that all student records and PII (Personally Identifiable Information) are protected with institutional-grade security protocols.

This Privacy Policy incorporates all elements of the U.S. Department of Education, Privacy Technical Assistance Center (PTAC) guidance titled Protecting Student Privacy While Using Online Educational Services: Requirements and Best Practices (Updated March 2016).

2. Information We Collect

Information you give us

Many of our services require you to sign up for an Account. When you do, we'll ask for personal information, which may include:

Telephone number

User-submitted content

Information we get from your use

Device Information

Device-specific information (such as your hardware model, operating system version, unique device identifiers, and mobile network information).

Log Information

IP addresses, system activity, hardware settings, browser type, browser language, the date and time of your request and referral URL.

Location Information

Precise GPS coordinates and sensor data from your device to provide real-time routing and safety monitoring.

Application Numbers

Unique application numbers used to identify specific installations for updates and maintenance.

Local Storage

Mechanism such as browser web storage (including HTML 5) and application data caches.

Cookies and Identifiers

Technologies to collect and store information when you visit a UniteGPS service.

3. How We Use Information

Product Development & Optimization

We use the information we collect to provide, maintain, protect and improve our services, and to develop new ones.

De-identified Data

We may use de-identified or aggregate data for research or analytic purposes. UniteGPS and its partners agree not to attempt to re-identify any de-identified data.

Tailoring Content

We use collected information to offer you tailored content – like giving you more relevant routing options or search results.

Data Mining Prohibition

Data mining or scanning of user content for the purpose of advertising or marketing to students or their parents is prohibited.

4. Transparency

We believe in complete visibility. Users are informed about what data is being tracked through clear interface indicators. You may also set your browser to block all cookies, including cookies associated with our services, or to indicate when a cookie is being set by us. However, many of our services may not function properly if your cookies are disabled.

Our platform allows for collaborative communication. When you share information via reports or public fleet links, remember:

Public Elements

Information shared via public links is visible to anyone with access to that link.

Revocation

Shared links can be expired or revoked by platform administrators at any time.

6. Accessing and Updating Your Personal Information

Whenever you use our services, we aim to provide you with access to your personal information. If that information is wrong, we strive to give you ways to update it quickly or to delete it – unless we have to keep that information for legitimate business or legal purposes. When updating your personal information, we may ask you to verify your identity before we can act on your request.

We may reject requests that are unreasonably repetitive, require disproportionate technical effort, jeopardize the privacy of others, or would be extremely impractical.

7. Application

Our Privacy Policy applies to all of the services offered by UniteGPS and its affiliates, but excludes services that have separate privacy policies that do not incorporate this Privacy Policy. It does not apply to services offered by other companies or individuals, including products or sites that may be displayed to you or integrated with our platform.

We do not share personal information with companies, organizations, or individuals outside of UniteGPS unless one of the following circumstances applies:

With Your Consent

We will share personal information with companies, organizations or individuals outside of UniteGPS when we have your opt-in consent.

With Domain Administrators

If your UniteGPS Account is managed for you by a domain administrator, they will have access to your account information.

For External Processing

We provide personal information to our affiliates or other trusted businesses based on our instructions and in compliance with this policy.

For Legal Reasons

Meeting any applicable law, regulation, legal process or enforceable governmental request; enforcing Terms of Service; and protecting against harm.

9. Information Security

Encryption & SSL

We encrypt many of our services using SSL and maintain AES-256 protocols for data at rest.

Audits & Reviews

We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorized access.

Restricted Access

We restrict access to personal information to UniteGPS employees, contractors and agents who need to know that information in order to process it for us.

Incident Response

We maintain a written incident response plan and strict protocols for data destruction or transfer at the end of service.

10. Data Rights and License

Exclusive Property of the Client

All data, including Student Data and PII submitted to the system, remains the exclusive property of the client. You retain all rights and ownership to the data you submit. By using the service, you grant UniteGPS a worldwide, limited license to host, store, and process this data solely for the purpose of providing and improving the service to you.

11. Enforcement

We regularly review our compliance with our Privacy Policy. We also adhere to several self-regulatory frameworks. When we receive formal written complaints, we will contact the person who made the complaint to follow up. We work with the appropriate regulatory authorities, including local data protection authorities, to resolve any complaints regarding the transfer of personal data that we cannot resolve with our users directly.

12. Changes to Policy

Our Privacy Policy may change from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice (including, for certain services, email notification of privacy policy changes).
